How to Export a PST file from Outlook
If you or your company are planning to move to Office 365, you may be wondering as to just how you will be migrating your data to Office 365. A simple and cost effective method you can use is called a PST migration. There’s no need to worry, you do not have to be tech savvy to perform a PST Migration. So just how do you export a PST file from Microsoft Outlook?
To begin, first open your Microsoft Outlook Desktop Client. For Outlook 2003 and Outlook 2007, you will want to click on File, and select Import and Export. For Outlook 2010 you will want to click on Open, and then select Import and Export.
Next the Import and Export Window should appear, under “Choose an action to perform”; select Export to a file, and click Next.
Under “Create a file of type” , select Personal Folder File (.pst) for Outlook 2003 or Outlook Data File (.pst) for Outlook 2007 and 2010.
Under “Select the folder to export from:” click on your email address or your Mailbox name as shown below. Make sure that “Include sub-folders” is checked, so that you keep your current Mailbox structure. Click next, to continue.
Next under “Save exported files as:”, click on Browse. We highly recommend that you save the PST File to a secure location, or to a location that is easy to remember so that you can easily locate your PST file when you need it. Once you have found a location to save your PST file, make sure to select the “Do not export duplicate items” radio button and click Finish.
If you do not specify the save location for your PST File
For Windows XP, it will save to C:Documents and Settings%Username%Local SettingsApplication DataMicrosoftOutlook.
For Windows 7 and Windows Vista, it will save to C:Users%Username%AppDataLocalMicrosoftOutlook.
Please note that “AppData” is a hidden folder within your Windows 7 Machine.
Once everything is done exporting you can find your PST file within the location you specified.
